Out this turn

Out this turn takes somebody off duty for the rest of the turn they are on, on a rotation that hands over on a schedule. The next free person on the lane’s list stands in, and every turn after this one stays with the person already planned for it.

You need: a turn running on a window with a schedule (any schedule type except Manual). You must be the person on duty, an owner of the rotation, or a workspace admin. On the Free plan, anybody can use it.

  1. Open the rotation page in the dashboard. In Slack, see Out this turn in Slack.
  2. On Current duty, select Out this turn. On a card with several rows, it is in the ⋯ menu of the row.
  3. Read Covers: it names who stands in, with Automatic substitution · Now to the end of the turn under the name.
  4. Under Until, leave End of turn, or pick Until a date to come back earlier: see Come back before the turn ends.
  5. Check Next turns. Now names the stand-in, the planned turns follow, and the line under them reads Unchanged.
  6. Select Out this turn. The confirmation reads Covers: name · until time, or Coverage needed · until time when nobody was free.

The stand-in goes on duty at once and the person marked out goes off. Both get their usual direct messages, and the channel gets the On duty message: see Duty starts.

When you mark somebody else out, the dialog title names them, as in Priya Shah · Out this turn. The line under the title gives the rotation, the person and the time the stretch ends.

The stand-in is the first person after the one marked out, in the lane’s list order, who is free for that time. Somebody who is away is passed over. So is somebody on duty in another lane, unless the rotation lets one person hold two lanes. On a one-lane rotation that is often the person whose turn comes next: they cover now and then take their own turn as planned.

A stand-in is not repaid. Their own turns stay where they were.

Anybody who can use Out this turn can choose who covers. It needs no right to edit the rotation.

  1. In Covers, select Choose someone else. The list shows the people on the lane’s list. The automatic stand-in comes first, marked Next in line.
  2. Pick a person. Somebody who cannot take the turn is locked, with the reason beside their name, such as Unavailable.
  3. The line under Covers reads Change assignment · the interval, and the confirm button reads Change assignment. Select it.

The person you choose is put on duty even if they are away. Picking someone else changes the assignment for the same interval, and it is undone like any other: see Take it back.

When the person you picked cannot be put on duty after all, the dialog reads Person unavailable: pick someone else in Covers and confirm stays unavailable until you do.

Under Until, select Until a date, then set End date and Until. The line under them reads name on duty again from time. The time must be after now and no later than the end of the turn: End of turn shows when that is.

The stand-in covers up to that time, and the person marked out is back on duty from then.

  • The list order does not move. The next handover goes to the person the plan already names, and so does every one after it.
  • Covers and swaps already planned on later turns keep the people they were agreed with.
  • Out this turn is for the turn running now. For a turn that has not started, use Hand over, then Add unavailability, on Next handover or in Plan: see Hand over a turn.
What Covers shows What it means
Coverage needed, with Nobody free on the line under it Nobody on the list is free for the rest of the turn. You can still confirm: the lane then has nobody on duty until the person marked out is back. To avoid the gap, select Choose someone else and pick a person.
Window shut The window is shut. Who stands in is decided when it opens.
Current assignment Somebody else is on duty through a cover, a swap or a changed assignment for this stretch.

When the stand-in takes over later than now, the line under Covers reads From time to time.

Somebody on duty through a cover, a swap or an assignment

Section titled “Somebody on duty through a cover, a swap or an assignment”

Somebody can be on duty for another person’s turn: they accepted a cover, took a swap, or were put there with Change assignment. Out this turn works for them too. The rest of their stretch goes to the stand-in, or to the person chosen, as a changed assignment. The earlier part of their cover or swap stays as it was, and the other half of a swap is not touched.

Their stretch needs somebody to go to. When nobody is free, confirm stays unavailable: select Choose someone else and pick somebody.

When the automatic stand-in covers, Out this turn adds an entry to the person’s own list under Settings → Availability. Its Reason reads Out this turn, followed by By name when somebody else marked them out. It has no edit button and no Active switch.

  1. The person marked out opens Settings → Availability.
  2. They select the delete button (the bin) on the Out this turn entry.
  3. In Delete availability setting, they select Delete.

The turn goes back to them from then on.

When Out this turn changed an assignment (someone else was chosen, or the person was on duty through a cover or swap), there is no entry to delete. Select Restore schedule on the change under Assignment changes in Plan, and check On duty after restore before you confirm: see Restore scheduled duty.
