External rotations
ProThis feature needs a Pro plan. On Free the settings are visible but locked.
An external rotation follows a schedule in PagerDuty or Jira Service Management. The provider decides who is on call and when; Round Robin connects those people to Slack.
You need: a provider connected under workspace Settings → Integrations, an enabled rotation and permission to edit it.
Connect a rotation
Section titled “Connect a rotation”- Open the rotation in the dashboard.
- Go to Settings → Integrations → External schedule.
- Under Which product, select the connected provider.
- Search for the schedule and select it under Schedule.
- Review the details and click Connect this schedule.
Linking takes whoever was on duty off at once: they get the off-duty message and leave the on-duty group. Nobody is on duty until Round Robin first reads the schedule. See Partner schedules for who is told.
The rotation page opens. For a pending PagerDuty sync, follow the status shown there before you check the assignments. See Check a missing or outdated assignment.
If the provider is missing from Which product, connect it under workspace Settings → Integrations first. See Integrate PagerDuty or Integrate Jira Service Management.
Find the schedule and people
Section titled “Find the schedule and people”Coverage names the linked schedule under PagerDuty schedule or Jira Service Management schedule. View in PagerDuty or View in Jira Service Management opens it at the provider.
People & Groups lists the schedule’s participants and their Slack mappings. The list belongs to the provider. The mappings are yours to edit.
Plan shows the provider’s shifts for the dates you select. For overlapping PagerDuty assignments, the next change and the availability states, see PagerDuty and Jira Service Management rotations.
Set the hours it covers
Section titled “Set the hours it covers”A linked rotation is on call whenever its provider schedule says so. The Coverage tab says this in a note headed Hours set in PagerDuty or Hours set in Jira Service Management.
To cover only part of the day or week, restrict the schedule at the provider:
- PagerDuty: see Restrict the hours.
- Jira Service Management: add restrictions to the schedule in Jira Service Management.
Round Robin has no coverage hours of its own for a linked rotation. If the rotation had coverage windows before you linked it, their hours are neither shown nor applied while it is linked.
Say who a participant is in Slack
Section titled “Say who a participant is in Slack”Round Robin matches provider participants to Slack users by email address. When the addresses differ, or the provider sends none, choose the Slack account yourself.
- Open People & Groups on the rotation.
- Find the participant and click Pick person, or Change for an existing mapping.
- Search by name or email and select the Slack account.
The mapping takes effect on the next sync. Set manually marks a mapping you chose; Matched by email marks an automatic match. To go back to automatic matching, open the same picker and choose Match by email again.
A manual mapping stays in place when that participant’s shifts change. Other participants keep their mappings.
Not in Slack means the participant has no Slack mapping. Their shift still shows, but Round Robin cannot mention them in Slack. It does not mean the shift is unassigned at the provider.
Mapping needs permission to edit the rotation. If the picker is unavailable, ask a rotation owner or a workspace admin.
Change the schedule
Section titled “Change the schedule”| Setting | Where to change it |
|---|---|
| Participants and shift assignments | Provider |
| Shift times, recurrence and overrides | Provider |
| Hours the rotation covers | Provider (Set the hours it covers) |
| Which Slack account represents a participant | People & Groups in Round Robin |
| Channels, mentions and notification preferences | Round Robin rotation settings |
Round Robin reads the schedule every minute or so, so a change at the provider takes a moment to appear.
Everything the provider owns is read-only in Round Robin. Rotate now, Set on duty, lanes, coverage windows and list membership are unavailable while the schedule is linked. To change any of them in Round Robin, disconnect the rotation first.
Disconnect a rotation
Section titled “Disconnect a rotation”- Open the rotation’s Settings → Integrations → External schedule.
- Click Disconnect PagerDuty or Disconnect Jira Service Management.
- Confirm with Disconnect.
For PagerDuty, Schedule disconnection pending shows until the rotation is back in manual mode. Leave the page open, or click Refresh to check again. Schedule disconnected confirms it.
The rotation stops following the provider and returns to manual mode with no people and nobody on duty. Whoever was on duty gets the off-duty message, and the owners get a Slack message saying the rotation is no longer bound. Duty history is kept, and the provider’s schedule is unchanged.
To use the rotation on its own after that, add people on People & Groups, check Coverage, then set a schedule if it should hand over automatically.
Disconnecting the provider under workspace Settings → Integrations disconnects every rotation linked through it. Use the rotation’s own settings to disconnect only one.
Next steps
Section titled “Next steps”- PagerDuty and Jira Service Management rotations: overlapping shifts, the Plan and availability states.
- Integrate PagerDuty: connect or renew provider access.
- Create or edit a schedule: schedule a rotation after disconnecting it.
